Constitution for The One Strong Pokemon League
PREAMBLE:
We, the members of The One Strong Pokemon League, subscribe to the regulations and policies established by this Constitution to govern the matters within our organization.
ARTICLE I. NAME
The organization's name will be the One Strong Pokémon League at La Diaspora (One Strong Pokemon League @ La Diaspora).
ARTICLE II. PURPOSE
We aim to offer local Western MA and Chicopee residents with a common interest in Pokémon the opportunity to interact with one another. We will host weekly club meetings to talk, trade, compete, and participate in various activities, including design competitions and trivia.
ARTICLE III. MEMBERSHIP
Section I
Membership is open to any who wishes to participate in the programming. There are no restrictions on the eligibility of members, and we will not discriminate based on anything. "Active members" attend at least 60% of the meetings. "Associate members" are not current in dues payment but participate in at least 60% of the sessions. Any member who does not attend at least 60% of the meetings will be considered "inactive." Active members retain the right to vote for critical executive decisions, such as managing the club's budget, electing new officers, and amending the Constitution. Active and associates can vote for unofficial matters, such as deciding which type of tournaments during club meetings.
Section II
Each member may lose their respective membership status or be banned from the club entirely if their conduct violates the Trainer's Code of Conduct or if they make other members feel unsafe or uncomfortable. Any club member may bring any individual questionable actions to the Executive Board's attention, who will discuss each case individually. In each specific case, the Executive Board members will discuss the measures for the member in question. Then, the board will hold voting to determine whether the League shall take action against the member in the following ways: the loss of membership status or permanent banning from the club. The Executive Board must reach a unanimous vote to strip a member of their membership status or to ban a member entirely from the club. If there is no unanimous vote, then no action is taken. Members stripped of their membership status will be inactive members, regardless of attendance or payment of dues, unless the decision receives an appeal from The Executive Board to unanimously agree to grant the members in question back their membership status. A member banned from the club will not be allowed to attend club meetings or club-related activities unless the decision receives an appeal. The Executive Board unanimously agrees to unban the individual in question. Any member stripped of their title (or banned from the club) may appeal decisions only once to the Executive Board unless otherwise specified by the President on a case-by-case basis.
Section III:
Following the Trainer's Code of Conduct ensures all Pokémon members of the Pokemon Club are treated relatively during gaming and trading interactions.
The Trainer Code of Conduct is as follows:
- Pokémon Battles associated with club activity
a. In official battles, no one may use "hacked or cheated" Pokémon. If a trainer chooses to use a hacked Pokémon in a non-official battle during the club meeting, they must inform their opponent before the battle and receive their consent. Any cheating will result in a review of the trainer and a forfeit of the match.
b. All decisions are final unless there is a need to review a possible violation of both trainers' agreement to a rematch. - Pokémon Trades
Each trainer is responsible for the trades they participate in; all trades are final unless both trainers agree.
Any unfair trades are the trainer's responsibility! Unless the Pokémon League (Executive Board) finds a pokémon found to be "hacked," it will not take responsibility. - Use of Technology
a. Any loss of connection during trades, battles, and multi-battle programming, will result in an automatic redo unless both trainers agree otherwise.
b. One Strong Pokémon League is not responsible for loss or damage to any personal equipment or games brought to Pokémon Club. Each trainer is responsible for their belongings.
c. If foul play is suspected, whether damaging or stealing a trainer's belongings, the Pokémon League will conduct an investigation which may result in a permanent ban of trainers found guilty.
ARTICLE IV. OFFICERS
Section I
The Executive Board will consist of the President, the Vice President, the Secretary, the Competitive Coordinator, and the Trivia Master.
Additional official positions may be added yearly, depending on the interests of the members of the club.
These positions may include the Pokémon RPG Coordinator, the Pokémon TCG Coordinator, the Publicity Chair, and the Technology Coordinator.
The holders of these positions are not designated Executive Board members, though the President may invite them to Executive Board meetings if the President requests.
Section II
Within the Executive Board,
- The President:
a. Coordinates all Pokémon Club meetings.
b. Presides over all Pokémon Club meetings.
c. Represents the Pokémon Club at all functions and meetings outside this organization.
d. Informs all members about meetings and club news.
e. Reserves rooms for weekly meetings.
f. Reserves rooms for the seasonal Pokémon League tournament.
g. Reserves rooms for non-regular meetings and activities.
h. Determines the schedule and all activities for the season. - The Vice President:
a. Acts as President in their absence or removal from office.
b. Publicizes the club in all facets.
c. Manages club decorations and parties - The Secretary:
a. Maintains a list of all members and their respective absences.
b. Takes attendance at each meeting and notifies the Executive Board in advance if they are absent from any discussions.
c. Splits club members into teams and manages the points for each team. d. Maintains any hardware the club collects, such as gaming consoles, controllers, and games, and brings these items to meetings when the President requests.
e. Set up any necessary technology to run club meetings or club-related activities, such as projectors, computers, and gaming consoles.
f. Manages all funds for the organization. - The Competitive Coordinator
a. Organizes and facilitates club tournaments.
b. Gives presentations on strategies for competitive play. - The Trivia Master / Event Coordinator
a. Prepares or delegates preparation of trivia for requested meetings.
b. Plans and organizes Club participation in events hosted by other clubs, businesses, and organizations.
c. Plans and organizes out-of-meeting events for the club.
Section III
Other potential official positions include the Pokémon RPG Coordinator, the Pokémon TCG Coordinator, the Publicity Chair, and the Pokémon Trivia Coordinator.
- The Pokémon RPG Coordinator:
a. Promotes and informs the club about the Pokémon RPG Tabletop Game b. Designates members to serve as Dungeon Masters.
c. Reports to the Executive Board regarding the Game - The Pokémon TCG Coordinator:
a. Promotes the Pokémon Trading Card Game.
b. Reports to the Executive Board for requests about incorporating TCG events into club meetings and informs the club. - The Publicity Chair:
a. Works with the Vice President to promote the club to players b. Helps design fliers and booths for events - The Technology Coordinator
a. Helps troubleshoot technological problems encountered during club meetings and club-related activities, such as dealing with malfunctioning sound systems and projectors.
b. Works with the Secretary to set up technology necessary technology needed to run events and meetings smoothly
ARTICLE V. Elections
Section I
Elections for Executive Board positions occur at the second-to-last meeting of the season. Only active or associate members approved by the Executive Board may run for executive office. Members can nominate themselves or others for any position before elections officially begin. Members can run for multiple positions but may only hold one. Elections follow this order: President, Vice President, Secretary, Competitive Coordinator, Trivia Coordinator. Members in attendance will cast ballots. The current President is responsible for supervising the election.
Ballots receive counts by two officers not seeking re-election following the vote. A simple majority vote will decide the election. Officers assume their duties immediately following the final meeting of the previous season. Regarding office term length, two situations are possible:
I.) If possible, officers remain in office until the final meeting of the following season unless there is impeachment or the position is vacant.
II.) If the running or elected officer departs in the upcoming season, they can run alongside a non-departing member who will take on the office after the departure of the primary candidate.
Section II
The Vice President will fill that position in the event of the President's vacancy or impeachment. In the event of the vacancy of any other officer, any active member or associate member approved by the unanimous Executive Board may apply to the post to be voted upon by the entire members of the club. Most approval is required for the candidate to fill the open position.
Section III
Failure of officers to perform their duties or failure to attend at least two-thirds of club meetings (unless excused) will result in a recommendation for impeachment.
Any member of the Executive Board can also recommend a different member of the Executive Board for impeachment. Active members and associate members can recommend the impeachment of an executive officer to any other executive officer, though they cannot directly recommend an executive officer for impeachment. Honorary and inactive members cannot suggest a recommendation for impeachment.
After a recommendation for impeachment has been made, the active members of the club and any associate members approved by the unanimous Executive Board will vote at the next "regular" meeting. A 2/3 majority vote in favor of impeachment by voting members is required to impeach an officer of the Executive Board. Final action will delay until the next "regular" meeting when there is a replacement.
Section IV
The Executive Board does any reviews the club needs besides amendments with a simple majority.
ARTICLE VI. Meetings and Events
The Pokémon Club will meet regularly once per week, except otherwise noted by the President. The club will also convene outside of regular meeting times for BoyCharlieFamily Gaming Club Workshop Night and the Pokémon League Tournament, to be decided by the President.
Tournament style: All tournaments will be double elimination unless otherwise specified by the Competitive Coordinator. Each match will be the best of one, although Winner's Finals, Loser's Finals, and Grand Finals can be the best of three, as decided by the Competitive Coordinator.
ARTICLE VII Amendments
Members can propose Amendments to present to the club for consideration and deliberation. A member's amendment may pass with a 75% vote of active members or a unanimous vote of Executive Board members.
